We have an exciting opportunity to appoint an experienced Tender Support Officer to join our dynamic team at Delkia.

 

Overview of the role

 

As a Tender Support Officer, you will play a crucial role in supporting the tendering process by coordinating and managing various activities to ensure the successful submission of competitive and compliant tender documents. Your responsibilities will include liaising with internal teams, conducting research, and maintaining accurate records to contribute to the organization's success in securing tenders.

 

Key responsibilities

 

Tender Coordination:


  • Assist in the end-to-end coordination of the tender process, ensuring all activities are completed within specified timelines.

  • Collaborate with cross-functional teams to gather necessary information and documentation for tender submissions.

Research and Analysis:

  • Conduct market research to identify potential tender opportunities and stay informed about industry trends.

  • Analyse tender requirements and specifications to tailor responses that meet client needs.


Documentation Management:

  • Maintain a comprehensive and organised repository of tender-related documents, ensuring version control and accuracy.

  • Prepare, review, and edit tender documents to ensure compliance with guidelines and standards.


Communication and Liaison:

 

  • Facilitate effective communication between internal stakeholders, ensuring a collaborative approach to tender preparation.

  • Act as a point of contact for external stakeholders, responding to queries and providing information related to tenders.

 

Compliance and Quality Assurance:

 

  • Ensure that all tender submissions adhere to regulatory requirements and quality standards.

  • Perform thorough reviews of tender documents to identify and rectify any errors or inconsistencies.

 

Deadline Management:

 

  • Monitor and manage tender submission deadlines, alerting relevant teams to ensure timely completion of tasks.

  • Prepare and submit completed tenders within the specified timeframes.

 

Record Keeping:

 

  • Maintain accurate and up-to-date records of all tender-related activities, including communication logs, bid submissions, and outcomes.

  • Generate reports on tendering activities as required.

 

Qualifications & Skills:

 

  • Bachelor's degree in Business Administration, Marketing, or a related field.

  • Proven experience in tender coordination, with a strong understanding of the tendering process.

  • Excellent written and verbal communication skills.

  • Strong organizational and time-management abilities.

  • Detail-oriented with a focus on quality and accuracy.

  • Proficiency in using Microsoft Office Suite and other relevant software.
